Finish registration & invite employees

Employees create an account and request

Now you’re all signed up, employees create their free BHN Extras account and access Cyclescheme – plus, any other benefits you've selected – via single sign-on.

During the setup process, your business chooses a Cyclescheme limit which is the maximum amount an employee can request. Through their BHN Extras account, employees can request the amount they would like to spend on a bike and accessories.

Approve and pay

You’ll be notified about the new request so you can review, approve and pay for the request – and apply the salary sacrifice. Employees will repay the cost of their request from their salary interest-free over 12 months and benefit from National Insurance and Income Tax savings.

How much does it cost to join Cyclescheme? +

Cyclescheme is free to join. As an employer, you cover the initial cost for your employee's bikes and bike accessories, but that is fully repaid through a monthly salary sacrifice. We can also support businesses concerned about covering initial bike purchases until salary sacrifice payments come in.

How does Cyclescheme work? +

The Cycle to Work scheme (or bike to work scheme) is really simple. Once your company has signed up to the scheme, your employees can request a scheme voucher up to a pre-approved monetary limit. This voucher can be used in over 2,600 UK retailers to purchase a bike, bike accessories or both.

The initial voucher cost is covered by employers, so the employee will effectively be 'renting' the bike under a hire agreement. Employees repay the voucher cost through 12-monthly payments from their salary (salary sacrifice) over an agreed period.

Once the hire agreement period is complete, the employee needs to choose their Ownership option. We our recommended ‘Own it Later’ option, the employee can extend the rental of their Cyclescheme package for a small one-off fee before taking automatic ownership 3 years later.

Yes, businesses of all sizes can (and should!) join the Cycle to Work scheme.

Is the cycle to work scheme actually worth it? +

Yes! Cyclescheme is one of the most popular salary sacrifice schemes in the UK. It's a fantastic way of owning a bike and making affordable payments over an agreed term. Employees save up to 42% on bikes and accessories through National Insurance and Income Tax reductions. It's also cost-positive for employers, saving up to 13.8% on Employer NIC. Plus, Cyclescheme promotes a healthier, more sustainable lifestyle, improving both physical and mental well-being among employees whilst reducing the business’s carbon footprint.

Do employees own the bike at the end of cycle to work scheme? +

At the end of the initial hire period, employees are given three options.

  1. Own it Later. , this is the most popular option. For a small one-off fee of up to 7% of the package value, employees extend their rental period for an additional 3 years (with no further repayments required). At the end of this time, we automatically transfer the bike to the renter (the employee) for free.
  2. Buy the bike (and any accessories) at its current market value. If employees want to buy the bike immediately, this is 25% of the original RRP. 
  3. Return the bike and accessories. Employees can return the bike and accessories to Cyclescheme. 

What if an employee leaves whilst still signed up to Cyclescheme? +

If an employee leaves during their Cyclescheme salary sacrifice repayment period, the agreement is still in force. Therefore, if they want to keep the bike, they'll need to pay the remaining balance and choose an Ownership option (and make any payment due). 

Who is eligible for the cycle to work scheme? +

Anyone who is over the age of 16, is a Pay As You Earn employee (PAYE) and will earn at least minimum wage after the salary sacrifice has been taken from their monthly pay is eligible. 

Can an employer refuse to join the Cycle to Work scheme? +

Employers do not have to offer such a scheme. However, as it is so popular with employees and comes at no cost to the employer, many are happy to be part of the scheme. 

How many times can employees use the Cycle to Work scheme to obtain a bike or accessories? +

There is no limit on how many times employees can use the scheme, but you can only make one salary sacrifice payment at a time.

That means, once you have finished making salary sacrifice payments on your initial Cyclescheme package, you can then use the scheme again.

How long does it take to get a bike on the Cycle to Work scheme? +

It usually takes 3-14 days from application to a Certificate being issued under Cyclescheme.

The length of time can vary whilst employers review and approve requests, but many employees can collect their Cycle to Work packages immediately after being approved.

Which Cycle to Work scheme is best? +

What happens if employees don't use their Cycle to Work voucher? +

Employees have 14 days from receipt of their scheme Certificate to cancel their agreement with Cyclescheme. 

How long can you take to pay off your Cycle to Work scheme Certificate? +

The cost of the bike and bike accessories is paid in equal instalments through monthly salary sacrifices. Payment periods are flexible and chosen by the employee. These include 12 months, 24 months, 36 months, 48 months and in some cases 72 months. 

Do I have to ride to work everyday to qualify for Cyclescheme? +

No, you do not have to commute by bike daily. However, you should use your bike and/or accessories for commuting to, from and between workplaces. At least 50% of the bike equipment should be used for work purposes. You can also use the bike for non-work purposes and there is no requirement to log your journeys. 

Do employees have to have a credit check to join the scheme? +

There is no credit check for employees that wish to join the bike to work scheme. Employees simply need to request their voucher and if they’re eligible (i.e. are 16+ years, on PAYE, and earn at least minimum wage after the salary sacrifice has been taken from their monthly pay), employers can approve the request.

How much can I spend on a bike through the Cycle to Work scheme? +

The Cycle to Work scheme doesn’t technically have a limit. This is to enable riders to get the right bike and equipment they need to improve their commute. 

It’s important to note, that employers can set a limit for the scheme and are under no obligation to offer more than £1,000.
